Personal Data Processing Policy

This policy explains what personal data may be processed when using the OKVideo.Pro website, sending requests, emails, messenger messages, and other business communications related to studio, live streaming, and video production services.

Important

Ordinary website browsing does not require registration and does not require mandatory provision of personal data. Personal data is provided voluntarily when a user contacts the operator through the contacts listed on the site.

1. General Provisions

This policy has been prepared in accordance with Federal Law No. 152-FZ dated July 27, 2006, On Personal Data, and defines the procedure for processing personal data by the operator of the OKVideo.Pro website.

The policy applies to data the operator receives from website visitors, clients, client representatives, contractors, and other persons communicating with the operator about live streaming, studio rental, video filming, editing, technical support, and related services.

Processing means any actions with personal data, including collection, recording, systematization, storage, updating, use, transfer, anonymization, blocking, deletion, and destruction, with or without automated tools.

2. What Data and About Whom May Be Processed

The operator may process personal data of the following categories of subjects:

  • website visitors who sent a request, email, or message;
  • clients and potential clients;
  • representatives, employees, and contact persons of clients, contractors, and partners;
  • other persons whose information is voluntarily provided to the operator during project preparation and delivery.

Depending on the situation, the following data may be processed:

  • surname, first name, patronymic;
  • phone number;
  • email address;
  • company name, job title, role in the project;
  • nickname or messenger identifier;
  • information contained in a brief, email, request, chat, attachments, agreement, invoice, or other document;
  • payment and billing details if needed to issue an invoice, enter into an agreement, or fulfill obligations;
  • technical information that may be automatically recorded by the website, hosting infrastructure, and connected web analytics systems for security, diagnostics, and site analysis, for example IP address, request date and time, browser and device type, pages visited, referral source, and actions on the site.

The operator does not request or seek to receive special categories of personal data or biometric personal data unless expressly required by law, a separate agreement, or explicit consent of the personal data subject.

3. Purposes and Grounds for Processing

Personal data may be processed for the following purposes:

  1. processing inquiries, requests, briefs, and price estimate requests;
  2. contacting the user and agreeing on services, timelines, estimates, logistics, and technical project details;
  3. entering into, performing, amending, and terminating agreements, issuing invoices, and exchanging documents and closing materials;
  4. organizing access to the studio, venue, project chats, and other working communication channels;
  5. protecting the operator's rights and legitimate interests, resolving disputes, and handling claims;
  6. analysis of website traffic, improvement of its structure, content, and user experience, and assessment of the effectiveness of advertising campaigns and website inquiries;
  7. complying with the laws of the Russian Federation.

The legal grounds for processing are the laws of the Russian Federation, user inquiries and consents, actions aimed at entering into and performing an agreement, the operator's legitimate interests in ensuring the website's operation, analyzing its traffic and communication effectiveness, and other grounds provided by law.

4. How Data Is Collected and Used

The site may use the Yandex Metrica web analytics service and similar tools to evaluate traffic, referral sources, user actions on pages, site performance, and the effectiveness of advertising campaigns. Such services may use cookies and similar technologies, and may process technical visit data: IP address, browser and device data, visit date and time, viewed pages, referral source, UTM tags, clicks, and other site interaction events. This data is used in aggregated form and is not intended for the operator to independently identify a specific visitor.

Personal data is provided voluntarily when the user:

  • writes to the operator's email;
  • calls the listed phone number;
  • contacts the operator via Telegram, Max, or other listed channels;
  • sends documents, briefs, technical specifications, presentations, participant lists, details, agreements, and other materials;
  • uses forms placed on the site, if such forms become available.

The site is intended primarily to provide information about services and contacts. Browsing the site pages by itself does not require entering personal data.

The operator does not make decisions that create legal consequences for a personal data subject solely on the basis of automated processing. Personal data is not used for distribution without a separate legal basis or properly documented consent.

If a user or customer transfers personal data of third parties to the operator, they confirm that they have a proper legal basis for doing so, including the necessary consents and authority.

5. Data Transfer and Confidentiality

The operator takes necessary legal, organizational, and technical measures to protect personal data from unlawful access, destruction, alteration, blocking, copying, provision, and distribution.

Data may be transferred to third parties only to the extent necessary to achieve processing purposes, including in cases of:

  • compliance with legal requirements;
  • performance of an agreement or preparation for entering into it;

The operator does not sell personal data and does not disclose it to an indefinite circle of persons without a proper basis. Cross-border transfer of personal data, if it objectively occurs when using international communication services or infrastructure, is carried out within the limits allowed by Russian law.

6. Storage, Updating, and Destruction

Personal data is stored no longer than required by processing purposes, the content of the agreement, mandatory document retention periods, and the operator's interests in protecting its rights.

Data may be stored for the period of:

  • negotiations and project coordination;
  • agreement performance and post-project interaction;
  • accounting, tax, and other mandatory document retention periods;
  • the need to resolve claims and disputes.

A personal data subject may send a request to clarify, update, or withdraw consent to processing. Once processing purposes are achieved, or if no other legal grounds remain, the data must be deleted, anonymized, or further stored only to the extent required by law.

7. Rights of the Personal Data Subject

A personal data subject has the right to:

  • receive information about the processing of their personal data;
  • request clarification, blocking, or destruction of data if it is incomplete, outdated, inaccurate, or processed in violation of the law;
  • withdraw consent to personal data processing if processing is based on consent;
  • appeal the operator's actions or inaction to an authorized authority or in court;
  • exercise other rights provided by Russian law.

To exercise these rights, a personal data subject may send a request to hi@okvideo.pro. The operator may request additional information needed to confirm the applicant's identity and process the request correctly.
